Document ManagementAttach files to records in AccountEdge, including documents, images and scans.
Attach any type of file to records in AccountEdge. Bookkeepers can scan bills and invoices from vendors and attach to purchases or expense transactions. Salespeople might attach a signed service agreement to an invoice. Accountants may attach I9 forms to an employee record.
AccountEdge creates a copy of the document and files it along with other attachments in a new AccountEdge documents folder. You can view a list of attachments connected to any transaction or customer record, and open this attached file within its related application.Click image to open screenshot

Accept credit cards with AccountEdge Mobile*
With an AccountEdge Merchant Account and AccountEdge Mobile, you can process credit card payments on your iOS device.
With an optional, secure swipe device* connected to your iPad, iPhone, or iPod, you can swipe credit cards with confidence, as delicate credit card data is encrypted via swiper before it even hits your device.
New Flat Fee Merchant Account
Our new Flat Fee Merchant Account keeps things simple with one low rate; a good fit if most of your sales will be made with the customer's card present.
Choose an amount, type a note, and accept payment: you're done. Or, choose from a list of favorite sale items and add your customer as a new contact. Sales, payments, and any new customers sync back to AccountEdge.
Receive Payment on a Receivable
Apply a payment to your open receivables in the form of cash, check, or credit card (AccountEdge Merchant Account required for credit card payments).
AccountEdge Mobile can track your mileage by employee or vehicle, and include the job associated with it. Sync it with AccountEdge, where it can be added to an invoice or used for reimbursing your employee.
The new migration assistant makes upgrading a whole lot easier. Moving attached images, custom forms, and Word and Excel templates to your new version is now just a matter of clicking "OK".
Print Prior Year W2s in the New YearPrint your W2s in the new payroll year without opening up a backup.
In earlier versions of AccountEdge, you had to close your old payroll year before running a new one. Once closed, you couldn't run your W2s and had to open a backup to print and run them by the end of January. AccountEdge 2013 alleviates this headache by allowing you to run your prior-year W2s whenever you need to.
Print Prior Year 1099s in the New Year
In previous versions of AccountEdge, in order to print 1099s in February to report payments from prior years, you either had to keep your payroll year open until February, or restore a backup of the prior year. With the 2013 version, you can start a new payroll year and still be able to print 1099s for the prior year.
User access can be broken down to specific Security tab functions within preferences. For example, not only can you specify which users have access to the Security tab, you can pinpoint which items they can access (such as "Prompt for Data Backup When Closing" or "Transactions Can't Be Changed...") on that preference pane .
Retainers, Escrow and Trust AccountsCreate Trust, Escrow and Retainer accounts. Write checks directly from these accounts and more.
AccountEdge’s retainer feature comes with time-saving usability updates to create Retainer, Escrow and Trust accounts, including linking bank accounts, writing checks directly from these accounts, and easily transferring funds into and out of these accounts.
Link bank accounts
Choose which bank account you want to link with your new retainer, escrow, or trust account, so you can cut checks from your account and track all transactions with which it is associated.
If you only deal in one or two of these three types of accounts, you can determine which terms to use for your account labels (retainer, escrow, or trust) in preferences.
Write checks directly from your retainer, escrow or trust account
If you need to cut a check from a retainer, escrow or trust account, you can save time by cutting a check directly from the linked bank account instead of having to do so through purchases and sales.
Transfer from retainer, escrow or trust
Simplify the billing and settlement process when dealing with retainers and trust accounts. If you manage retainers in separate trust accounts, funds can now be moved from the retainer sitting in trust to your operating account, automatically.
If you create estimates for clients, you probably need to deal with changes to the estimate during the process. The new Change Orders feature tracks what changed on your estimate and lets you keep notes on why a change was made.Click image to open screenshot
Change Orders track changes to quantity, price, discounts given, descriptions, and new lines added to an estimate. You can print or email the estimate and deliver to your client, with change notes.
Sales & Purchases Notes
Add notes to sales and purchase orders. If you want to make notes on quotes, orders, or invoices about sales or purchase details, now there's a notes field where you can do so. These notes can be added to the printed or PDF version of sales and purchase forms as a custom field.
Billing Rate Reports
If you bill for time, there are three new reports waiting for you: Bill Rate Level Summary, Bill Rate Level Detail, and Card Detail. Run these reports to see the details of bill rate levels – including custom and fixed rate levels – as well as which employees and customers are assigned billing rates.
Updated Financial Statements
Financial statements – including Profit & Loss and Balance Sheet reports – have been redesigned to make them cleaner and easier to read.
Employee Mileage Logs
Update to AccountEdge’s mileage feature lets you choose to track mileage by vehicle or employee. You can also set multiple rates for mileage entries. Track your company mileage with the new vehicle and employee mileage logs.
Improved Bank Statement Import
Importing and reconciling bank statements is more streamlined and intuitive with the new Bank Statement Import. The new "worksheet" acts as a middle-man between import and reconciliation to improve the workflow of dealing with bank statements. Plus, rules can be created to look for and match transactions.
New worksheet eases reconciliation
When you import your bank statement into AccountEdge, it opens in the new "worksheet". The worksheet divides your transactions into two areas: matched and unmatched. Use the "worksheet" to do your reconciliation: edit, split and match transactions.
Create rules to speed up reconciliation
Make future reconciliations faster and easier by creating rules that can automatically match transactions. For example, you can create a rule that looks for the Payee "Local Gas Station" and then automatically codes it to the proper card and account.
Take a break, come back later
Bank reconciliation can be a long, tedious task. What if you need to get up and walk away from it for awhile? No problem. You can close the new worksheet and then open it when you're refreshed and ready, picking up your work right where you left off.
Bolding of headers and subtotals
A header or subtotal inserted into an invoice will be bolded when printed or emailed.
Printing on second page
When the body of a sale or statement hits the end of the first page, the text will no longer be truncated but wrapped to the next page if it cannot fit on a single page.
If you've been using AccountEdge for a few years, you've probably accumulated some contact cards or items that are no longer needed. New Batch Delete will help you clean up your card lists. Don't worry about deleting items or cards that you shouldn't. AccountEdge intelligently protects cards with existing transactions associated with them.
Expanded Tax Code Field
If your state has multiple tax jurisdictions and authorities, or if you need to create tax codes for multiple states, now you can create tax codes up to 5 characters in length, up from 3 in earlier versions of AccountEdge.
Shipping Address on Professional Invoice
Added the ability to choose a shipping address on a professional invoice.
Remind All Users of Recurring Transactions
This new option in recurring transactions allows you to remind a specific user – or all users – about a pending recurring transaction about to be recorded.
Send Address and Company Name to Payroll Forms
The company name and address set in the Company Info window is automatically sent to the payroll forms assistant. You can also change this adress and store it for future use.
New command center
AccountEdge’s command center has been redesigned with an emphasis on usability and modernity. While retaining the familiar flow chart layout, the new Side Bar and additional menus, Sync and Lists, make it easier to read and navigate your company file. Get where you’re going quick with the Side Bar, new in the command center. The Side Bar lets you get to recently visited places in AccountEdge. Create a Favorites list for one-click access to your most used windows. Get answers to questions fast with the links in the Help Center.
New welcome window
The welcome window that opens when you launch AccountEdge has been redesigned with new features added for ease of use. You can access company file maintenance without having to open the company file, and navigate to support tools directly. Restore company file
Restore a company file without having to open it in AccountEdge first. Use the new Company File Maintenance drop-down menu in the welcome window to restore your company file. Once restored, you will be alerted to the file’s name and location.Click image to open screenshot
Track your mileage
Whether you depreciate your vehicle, reimburse for mileage, or bill your clients for miles driven, you can use AccountEdge to track your mileage. Add your vehicles to the vehicle list, then enter the starting and ending readings of your odometer.
You can track the date, note the vehicle used, keep trip notes, apply mileage to a specific job, and add mileage to customer invoices when billing with reimbursable expenses. When the IRS changes mileage rates, you can update the rates in AccountEdge with an effective date. New mileage log reports track the mileage your writing off, depreciating, or billing for.

Multiple billing rates
Create a matrix of billing rates, by activity, employee, and customer, so that you can charge different rates for the same activity. For example, you can use custom billing rates to set up rate schedules based on employee seniority. Bill a senior partner out at $400/hour, and a junior partner out at $200/hour for the same type of activity.
Or, you can set up your billing rates to work with a preferred customer program, charging preferred customers a different rate than customers who aren’t part of the program. Watch a video on billing rate levels in AccountEdge.
Streamline your invoicing
Do you send multiple invoices to a single customer every month? Use the new Statements with Invoice Details to send a single monthly statement that includes the detail of each invoice. An item statement will show each item with cost, and a service or professional will show each description with cost. See it in action.
New billing statement invoice type
Make it easier for your customers to see where they stand with AccountEdge’s new billing statement invoice. Four new invoices include statement details like current and ending balance and an invoice aging statement. Overdue invoices are aged as of the print date of the invoice.
You can add fields to your existing invoices, like a customer’s Aged Receivables, Total Balance, and Current Amounts. Or, use one of the new custom invoices included with AccountEdge. Watch a video about statement invoices.
New custom invoice and statement templates
AccountEdge 2012 adds over a dozen new invoice and statement templates, including a new remittance invoice and statement with a tear-off remittance area. Just drop your logo and company name onto the form and you’re ready to go. Watch a video about custom sales and statement templates.
Longer statement descriptions
The description fields on statements now wrap and show the entire text from memo fields.
Expanded amount in English on checks
We’ve improved how AccountEdge prints checks, with amounts over $100,000 written out in English, rather than numerically.
Updated Start a New Year assistants
The Start a New Fiscal Year and Start a New Payroll Year assistants have new, easier to read layouts for better usability. You can also choose to retain or purge prior year Progress Billing information.
Over 50 new fields available for sales report customization
There are 51 new fields you can add across all sales reports for more precise customization.

Web order number flows to sales order, invoice
Enstore users: sales made on the web and synced to AccountEdge will include Enstore’s web order number on your AccountEdge sales orders and invoices. This lets you pair up Enstore sales with AccountEdge sales orders, and also helps to differentiate orders that occurred on the web from those manually entered in AccountEdge.
Single-click: activity slips to invoice
Activity slip security preferences
Lock down your activity slips so that your employees and/or sub-contractors can only enter their time. Hide billing rates, ability to select billing levels, and time and rate adjustments by User ID. Watch a video on activity slip security preferences.
Contractors, architects, engineering firms, and others that bill by project or job can now bill as work is completed. Bill by percentage of the total quote, percentage of each line item, quantity, rate, and more and AccountEdge will manage the invoicing of the entire project from start to finish. You can even bill in excess of 100% of the original quote for overages, change orders, and expenses.
Lawyers, graphic designers, and others that need to manage retainers can create and maintain retainers the way they want to. Set up and manage retainers in AccountEdge, keep a minimum retainer balance, and add expenses to a retainer to pay bills on behalf of clients. Updated search on select from list
We’ve heard you loud and clear and reinstated the old way of searching through lists, while keeping the “starts with” and “contains” method introduced in AccountEdge 2010. Search by any text string, or modify your search by specific field.
Sales and purchases action buttons
Frequently used functions are quickly accessed with the new action button that appears on sales and purchases windows. Click the button to open a simple drop down menu that lets you quickly use or save a recurring transaction, change exchange rates, and much more.
Increased description, note, and email message field size
No more abbreviated notes, descriptions or emails in AccountEdge. We’ve increased field sizes for descriptions, notes and email messages to 1000 characters.
Create an invoice from a purchase
If you regularly incur expenses on behalf of your customers, kill two birds with one stone by recording a purchase for the original cost of the expense, and then automatically creating an invoice to bill your customer’s retainer account.
Web store setup window
New Tax Accounts tab in the Web Store Setup window lets you set up and manage the types of taxes collected via Enstore.
Web order indicator
If you use Enstore, you can immediately see which sales are made via your web store, and the order number of each order.
New fields on forms
Three new fields can be added to forms when customizing. Unit weight and total weight are great for showing weight right on invoices and packing slips. Including the web store description on invoices and packing slips can help to ensure proper delivery.
Item sales import/export
Four new fields have been added to AccountEdge’s Import/Export of Item Sales for better Enstore integration: web order #, tracking number, shipping details - service and shipping details - notes.

The introduction of Enstore brings a wealth of new item details you can keep, whether you have a web store or not. Track the weight of an item in pounds or kilograms, and associate a brand with an item. Attach up to three images to an item, which can be synced with your web store. Profitability of a sale
Quickly learn the profitability of a sale with the Show Profit Analysis button. It shows gross profit, margin, and cost of each item you are selling and for the entire invoice.
