Customize Checks to Show Debits
Occasionally you will receive credit from vendors (called debit memos), and you will apply those debit memos to open bills. When you print checks and stubs for the balance of the bills, you may want to display the debit memos on the check stubs. You can display this information by customizing a check template and adding the [Invoice Debit Memos] or [Invoice Debit Memos With Label] field to your check form.
How To Add The Debit Memo Field
- Go to the top menu bar and select Setup > Customize Forms > Checks.
- Select the Form to Customize and then click the Customize button.
- At the top of the Customize Checks window change the Layout to Payable. This will change the setting so that you are editing the stub portion of the check for a check that was applied to a purchase.
- To add a new field to the form click the fields button in the upper left corner (green plus sign).
- Here you can add the fields for either [Invoice Debit Memos] or [Invoice Debit Memos With Label].
- Note: There are two different check stubs. Fields for one check stub will be in the "Column-Every Page" section and fields for the other check stub will be in the "Column-2nd Stub" section.

Invoice Debit Memos
This field, which is displayed as a column on the check stub, will display just the amount of the debit memo that was applied to a bill. You will need to indicate the column name with a Text field.
You can see in the image below the Customize Checks window with the [Invoice Debit Memos] column added to the pay stub.
This is how it would print out on a check stub that was applied to a purchase which previously had a $500 debit memo applied:
Invoice Debit Memos with Labels
This field, which is displayed as a column on the check stub, will display the amount of the debit memo that was applied to a bill. The amount will be prefaced with the letters DM to indicate it was a debit memo. You will need to indicate the column name with a Text field.
